The no show reminder text sequence
Two reminders and one alert. Set them up once in your booking or CRM tool and they run on every booking.
Text 1: The day before
Hi [Name], it's [Business]. Just a reminder about your appointment tomorrow, [day] at [time], at [address]. Reply YES to confirm, or reply CHANGE if you need a new time.Text 2: One hour before
Hi [Name], see you in an hour at [time]. If anything came up, just reply here.The alert to you
If the customer doesn't reply YES by [time] the evening before, send yourself:
[Name] hasn't confirmed tomorrow's [time] appointment. Call them at [phone] or offer the slot to someone else.Set it up
- Open your booking tool's settings and look for "reminders" or "notifications."
- Paste in Text 1 and Text 2 with the timing above.
- If your tool can't send the alert, check unconfirmed bookings yourself each evening. It takes 2 minutes.
- Book a test appointment for yourself and check every text arrives.
Rules
- Only text customers who booked with you.
- Include "Reply STOP to opt out" if your tool doesn't add it.
- Keep a short waitlist, so an empty slot can be filled fast.
